OptiResume.online - Recruiter Services

1. Overview

OptiResume.online respects your privacy. This Privacy Policy explains what information we collect, how we use it, and how we protect it when you use our recruiter services.

Session-based recruiter-tool outputs outside screening workflows are not retained after session completion.

Screening records are retained for limited operational windows to let recruiters review completed screenings and reports. Retention windows are automatic and managed by system policy:

2. Information We Collect

We collect only the following information during recruiter registration:

  • Recruiter full name
  • Email address
  • Company name
  • Company website or LinkedIn page URL (when provided for verification)

This information is collected for account creation, verification, and authentication purposes.

For recruiter onboarding, we do not collect unnecessary marketing-tracking profiles.

  • Advertising tracker profiles
  • Third-party ad-targeting identifiers
  • Unrelated marketing analytics data

For screening security and abuse prevention, screening submissions may include limited technical metadata such as IP address and user-agent.

3. Recruiter Verification Data

To protect recruiter-only access, we collect and review verification details submitted in the recruiter approval questionnaire.

  • Recruiter full name
  • Company name
  • Company website or LinkedIn page URL
  • Recruiter identity category (for example: company owner, HR/talent, in-house recruiter, agency, or hiring manager)
  • Recruiter-only use confirmation

We use this information only for manual approval, abuse prevention, and account integrity checks.

4. Account Approval

Recruiter account access requires manual administrative approval.

  • After sign up, access is reviewed by our admin team.
  • Approval is typically granted within approximately 24 hours.
  • Access to recruiter features is activated only after approval.

5. How Your Information Is Used

Your recruiter profile and verification data (full name, email, company name, and company website/LinkedIn page when provided) are used only for:

  • Account authentication (email login via Supabase)
  • Account confirmation email during signup
  • Administrative approval and verification
  • Account management
  • Payment processing (via Stripe)

Approved recruiter accounts (including approved hiring managers using recruiter access) may search the Candidates Database to review candidate resumes that jobseekers voluntarily choose to store for recruitment consideration.

We do not send newsletters or marketing emails.

6. Screening Data Storage and Auto-Deletion

Screening records are retained for limited operational windows to let recruiters review completed screenings and reports. Retention windows are automatic and managed by system policy:

Depending on workflow input, these records may include role details, candidate name/email, recruiter-provided resume or job-description context, submitted answers, transcripts, video assets, and generated reports.

Text screening links and related records (answers, reports, and linked metadata):

  • Up to 30 days from link creation if no completed submission exists
  • Up to 15 days after a candidate submission is completed
  • Up to 7 days after the recruiter opens/reads the report notification

Video screening links and related records (video sessions, transcripts, reports, and video assets):

  • Up to 10 days from link creation if no completed submission exists
  • Up to 7 days after a candidate video submission is completed
  • Up to 3 days after the recruiter opens/reads the report notification

When a screening link reaches expiration, the system automatically deletes the expired link and associated screening records. For video screenings, linked stored video assets are also deleted from storage.

Recruiters or admins may delete screenings earlier through management tools.

Non-screening recruiter tools remain session-based; those outputs are not retained after session completion.

7. Support Messages

If you contact support:

  • Messages may be temporarily accessible for review.
  • Messages are removed within 24 hours after being read.

8. Third-Party Services

We use the following service providers:

  • Supabase - Authentication and account management
  • LinkedIn - OAuth sign in for recruiter accounts (when you choose it)
  • Stripe - Payment processing
  • Major LLM providers - AI processing
  • DigitalOcean - Hosting infrastructure

Payments are processed securely by Stripe.

AI tools (major LLM providers) process content submitted through recruiter features. Their data handling is governed by their own privacy policies. By using our platform, you acknowledge that AI services are involved in processing submitted information.

9. Data Retention

Account information (full name, email, company name, and any submitted company website/LinkedIn verification URL) remains active while your account exists.

Screening data retention follows the auto-deletion schedule in Section 6.

You may request deletion of your account at any time.

Once deleted, your account information is permanently removed.

10. Security

We use:

  • HTTPS encryption
  • Secure authentication via Supabase
  • Secure payment processing via Stripe

We take reasonable technical measures to protect account data.

11. International Users (Including EU)

By using the service, you consent to data processing in accordance with this Privacy Policy.

If you are located in the EU, you have the right to:

  • Request access to your personal data
  • Request correction
  • Request deletion of your account

12. Age Restriction

This service is intended for individuals 18 years or older.

13. Changes to This Policy

We may update this Privacy Policy periodically. Updates will be reflected by the Last Updated date above.
